With spaces you can structure your Zive platform exactly how you need it. It allows you to manage knowledge and AI features on different levels of your organization to enable you to easily scale Zive as your enterprise AI platform.
What exactly can be organized in spaces?
There are two different features that apply on the space level:
While the Zive Assistant and the Zive Search are generic features available to all users, collections and agents are created for specific use cases (e.g. topics, projects, tasks, workflows, ...). Therefore, specific collections and agents can be relevant to only a group or even an individual user.
Spaces reflect exactly this by providing the possibility to create collections and agents that might not be relevant for the entire company, but are required by a team or a user.
This way you always have the flexibility and safety that specific collections and agents are only available to exactly the users it should be available to.
How are spaces structured and set up?
Note: On all levels and in all spaces we still apply and prioritize the permissions from the source system. However you structure and manage your spaces, no content will become available to users without having access to that content in the system it comes from.
Company space
Creation
The company space is available by default on every platform and does not require manual creation. It is not possible to create additional company spaces.
Members & access
Every user of the platform is automatically part of the company space, so it's not required to add members manually. This also means that collections and agents published in the company space can be accessed by every user.
Management
The general permissions to create collections and agents in the company space is only available to users with the Moderator role. After the initial creation both collections and agents allow Moderators to define users that can edit and work on this specific collection or agent.
Personal space
Creation
Just like the company space personal space is available automatically for every user of the platform and at the same time limited to one space per user.
Members & access
It's the complete opposite of the company space, because the personal space is only for the individual user. No other user (independent of the role) can see or access collections or agents that are created in a personal space.
Management
Only the individual user can create collections and agents within their respective personal space. There is no user role required for creation in a personal space. It is also not possible to define managers for specific collections or agents to collaborate on them.
Team space(s)
Creation
There are no team spaces created automatically, but instead they need to be created by Moderators. Existing team spaces can also be deleted by Moderators globally, without having to be a member of the team space themselves.
Members & access
Members need to be invited to a team space in order to join. This can be done by Moderators or by users defined as managers for the specific space. Of course members can also be removed again. As a user you can be part of multiple teams.
Management
Members of a team space can use the available collections and agents, but not edit or delete them. These rights are reserved to managers of the team space or Moderators who are members.
How can we benefit from spaces?
Faster adoption across the entire organization
Every user can create collections and agents at least in their personal space. Without any user role required, every user can explore these functionalities individually and drive the value created from them.
Stay organized, structured and safe
When set up correctly spaces enable your entire organization to create valuable agents and collections for the right target groups. This not only keeps the platform cleaner, but also enables the setup of collections and agents for confidential topics.
Maintain quick access to everything relevant
You can but you don't have to navigate into a space to access the collections and agents. When navigating to the features you will always find all agents and collections available to you from all different spaces.
This provides you a central place finding everything that is available to you and access it quickly. A small indication helps you to still see which space the content belongs to.
