Learn how to implement external sites into Zive via Links.

Zive is capable of implementing a variety of content, from all sorts of apps and systems to provide all your internal knowledge in one place. Still, sometimes there might be the need to navigate to company-specific websites to perform actions, e.g. entering browser-based tools or accessing a vacation request form.

In order to make it easy for users to quickly find the right link and navigate where they need to go, Zive offers the functionality to add links to your platform.

Please Note: Links inside Zive only serve as an entry point to websites. Therefore, apart from the metatags, Zive does not read or index any content from these sites.

How to add Links

By default, links are always a part of a Knowledge Collection in order to give them a clear assignment to a topic. As a collection manager, you can add links to a collection, exactly like you would with any other type of content. Simply click "Edit" while in a collection, hit "+ Add item..." at whatever section you want, and choose "Create new link".

You will then be prompted to paste in whatever URL you want to add, after which Zive will suggest a name, preview image, and description automatically fetched from the website you are adding. Feel free to edit those to your liking.

How to manage Links and add Global Links

Managing links and adding Global Links is a functionality only available to Moderators. Learn more about user roles.

Inside the Workspace Moderation, Moderators can find the "Links" tab, in which a Moderator may view, edit, and delete links. Furthermore, from here, a Moderator can also create "Global Links", which are Links that are not connected to a specific collection.

How to use existing links and avoid duplicates

You may browse and add links that already exist elsewhere inside your workspace by simply choosing "From the search" instead of "Create new link" while editing a collection.

If you input a link that already exists anywhere inside your workspace, you will be asked whether you want to reference the pre-existing link or add a new one. This serves the purpose of avoiding duplicate links and only triggers if the exact same URL is already existent in your workspace.

How to access Links

Links can generally be found inside the respective collection in which they were created. From here, Collection Managers can edit or delete the Link.

Links are implemented and indexed as content into Zive as any other type of file. This means that you are able to browse for links using the Zive Search, by inputting a part of the name or description of the Link. While searching, links are sorted into their own technical category "Link".

Additionally, relevant Links that are often used, are recommended to you on your Zive Homepage, to make quick navigation even more convenient.
