Introduction Zive Search

Learn how to get the best out of Zive's universal search.

Updated over 3 weeks ago

We've built Zive to work as similar as possible to the search engines you're already using in your daily life, like Google or Bing. Your search experience starts by entering a search phrase or by asking a question. Zive will automatically interpret your search and deliver highly personalized search results tailored to you.

What can be found in Zive?

The search always refers to your company knowledge available in your Zive platform. This knowledge can result from different sources.

Content from data connectors

Zive comes with a broad range of data connectors that pull relevant information from your company's business apps. These typically include tools like:

  • MS Teams

  • MS SharePoint

  • MS OneDrive

  • Google Drive

  • Atlassian Confluence

  • Atlassian JIRA

  • Haiilo Intranet

  • and many others ...

So this can be files, messages, sites or other types of content from your organization. However, the actual data connected to Zive depends on your company's settings, which in turn depends on how your admins have configured the platform.

Content added to knowledge collections

In addition or as an alternative to data connectors, Zive Knowledge Collections allow you to upload files to the platform and even create knowledge within Zive, e.g. by creating FAQs. Content that is part of a collection is not necessarily accessible for all users, but depends on who can access the collection.

Tip: On the homepage of your platform you see a box called "knowledge" displaying you the connected systems and the number of content items available in your platform. This helps to grasp the available content.

How the Zive Search works

Default smart search

A major advancement in the Zive search is the possibility to find results that don't only have a one-to-one keyword match but combine a variety of factors to deliver personalized and contextualized results.

  • Keyword match

  • Semantic match (contextual relation to the search query)

  • Relevance for user (based on role, team, ...)

  • Actuality of the content

  • ...

Only the combination of these aspects deliver the most relevant and best search results for the majority of search queries.

Keyword search with operators

Operators allow you to define criteria like a keyword match and can make sense if you are looking for something specific, more than a general research.

Tip: We have a dedicated article explaining the available Search Operators. Highly recommended in order to always get the results you need.

Question answering

Whenever you type a question in the search, the Zive Assistant is triggered and provides you with a precise answer in addition to the list of relevant results.

With one click you can simply continue the conversation directly in the Assistant to follow up on your initial question.

How to use filters and sorting

In addition to your search term, Zive allows you to set additional filters to break down your search results.

Quickfilter

Right below the search bar you can quickly filter for the content type you want to limit your results to. In case you know what kind of content you are looking for this can be super helpful to find what you need immediately.

Advanced filter

To the right side of the quick filters you find more filter options, e.g. the source system, the author or the timeframe of creation or last change of the content. With these you can find exactly what you are looking for, even for very broad search terms.

Sorting

Zive offers the following sorting options:

  • Smart Relevance: Show the most relevant results based on your user profile and preferences.

  • Relevance: Show the most relevant results based on content only (ignoring your personal user profile).

  • Latest: Show the latest results on top.

You will find the sorting button in the top right corner (on mobile you will see an icon instead).
